Thank you for your interest in becoming a vendor at the PRCA RAM Mountain States Circuit Finals Rodeo (MSCF). Vendor booths are located in the East Pavilion of the MAC Equipment building.
Please complete the following form with your information. Once submitted, The Ranch’s staff member will determine availability. Confirmation letters will be emailed within a timely manner of your application.
Payment in full must be received no later than
Friday, October 10 by 5:00pm
or you will lose your spot to another vendor.
Completing and submitting this request does not guarantee you a space at the MSCF and your specific location is at the discretion of the Ranch. Requests for specific spaces will be considered but are not guaranteed.
Vendor space will be assigned after applications are received and are subject to availability, special needs, and compatibility of contractors. All measurements and booth layouts are approximate and management reserves the right to make modifications and change booth assignments as necessary to meet the needs of the event.
The Ranch reserves the right to determine the eligibility of any company or product for inclusion in the Fair.

For this agreement, a contractor is an individual or company entering the contract with The Ranch, and an exhibitor is a staff or person onsite working at the contractor's booth.
Please complete the Release from Liability Form and the Vendor Application below. Your completion of the application will confirm that you have read and understand all rules and regulations concerning vendors at the 2024 PRCA RAM Mountain States Circuit Finals Rodeo. Reading the entire form will also help eliminate questions concerning parking, electrical needs, etc. A full information packet will be sent to all approved vendors including parking information, check-in date and time, and other details the beginning of October.
Vendor Rules and Information
Insurance
Requirements:
The Contractor shall provide a certificate of insurance along with the signed contract to secure the Contractor's involvement with Larimer County, The Ranch, as outlined below.
The insurance coverage required herein shall be procured and maintained in full force and effect at the sole expense of the Contractor for the duration of the Contract and shall be written for not less than the following amounts, or greater if required by law.
General Liability insurance
covering all Contractor’s activities and the activities of its agents, subcontractors, and invitees.
General Liability shall be written on an occurrence form with minimum limits of $1,000,000 per occurrence and $2,000,000 general aggregate.
The Contractor agrees that the insurance afforded the County is primary non-contributory.
The
Certificate Holder
section of the certificate of insurance shall list Larimer County

Larimer County and its elected and appointed officials and employees shall be named as an
Additional Insured
as their interests may appear.
Automobile Liability insurance
shall be provided by all Contractors who will be driving on The Ranch campus.
Workers’ Compensation
shall be provided by all Contractors.
If the Contractor is exempt from carrying Workers’ Compensation coverage per Colorado Workers’ Compensation Act 8-40-202(2)(b)
(i.e., no employees)
, the owner of the company must sign the Workers’ Compensation waiver provided on the next page and submit it along with this contract.
There will be no exceptions, and late certificates may revoke your application and space.
Governmental Immunity - No term or condition of this Contract shall be construed or interpreted as a waiver, express or implied, of any of the immunities, rights, benefits, protections, notice requirements or other provisions, of the Colorado Governmental Immunity Act, C.R.S. 24-10-101 et seq. as applicable now or hereafter amended. There is no intent to waive or restrict governmental immunity.
Set-up and Takedown

. Accessibility to booths will take place one hour prior to opening to the public each day of the event.

For booths that will be operating out of a trailer, the load in time frame will be Thursday, October 24 at an assigned time between 2:00-5:00PM. Load out will be Sunday, October 26 from 9:00AM to 12:00PM.

Security -
The building will be locked down each night and every effort will be made to keep the grounds secure and your equipment safe. However, Larimer County Fair and its management are not responsible for any theft, damage, etc. that may occur during the Larimer County Fair. Contractors are required to have at least one attendant always working at their designated booth space during hours of operation. If you close your booth and leave early you will incur a penalty fee and may be asked not to return for future events.
Parking
- All vehicles are to be parked in the designated vendor parking area –Trailer Parking Lot. The spaces immediately behind the building are for vendor load-in and out only. Those vendors with campers, who wish to stay on the grounds, please note that we have limited designated camping areas. This info will be sent with confirmation packet.
Restricted Merchandise
– Vendors may NOT sell guns, weapons, tobacco or vaping products, products with THC or seeds, CBD products, fireworks or other potentially dangerous or offensive merchandise. This includes “cap snappers.” No space, either indoor or outdoor, will be rented to serve food other than packaged nuts, candies, etc., without completing a
Food Booth Application.

Cancellation

Sales Tax
-
Vendors selling items at the Larimer County Fair are required to have a Colorado State Sales Tax License or a Special Event Sales Tax number as assigned by the Colorado Department of Revenue. The amount of tax to be collected by retail booths is 6.7%. You can, and may, be contacted by local sales tax representatives during the Larimer County Fair. Contact your nearest Colorado Department of Revenue office for further information. Please contact the City of Loveland at (970) 962-2708 or (970) 962-2315 if you have any questions or need assistance with city sales tax policies. Please note 2024 State Tax is currently 2.9%, the County is 0.8%, and the city is 3% - A total of 6.7%
Booth Regulations
-
All booths shall be considerate of their neighbors. Excessive sound levels are not acceptable, and vendors may be asked to reduce their volume at Ranch staff’s discretion. The exhibitor agrees to be responsible for the cleanliness of the assigned space. Storage of excess materials and fixtures is the responsibility of the exhibitor and any excess materials and/or fixtures brought onto exhibit/conference property must be confined to the interior of exhibitor’s booth.
Contractors or exhibitors must not injure or deface the walls or floors of the building, the exhibit spaces, or the equipment of the exhibit spaces. Contractors are liable for any and all costs to return the space to its original condition.
Booths may not be sublet/shared without written permission from the Ranch. The Ranch has the right to have exhibitors removed and revoke future applications if spaces are sublet/shared. Vendors agree not to display or advertise goods other than those manufactured or carried by their company in the regular course of business.
Exhibitors may provide explanatory, technical, or informational material concerning the products, services, or issues; such material, however, may not be displayed outside of an exhibitor’s assigned area.
Exhibitors shall restrict campaigning or distribution of products or information within the confines of their booth without impeding traffic flow or interfering with other exhibits or exhibitors. Solicitation of signatures or interaction with a product is also to be within the confines of the rented booth space. This will be enforced with security, and Exhibitors found breaching this regulation may be asked to leave.
Product Descriptions
: You will be asked to describe the types of products and services you will include in your booth. If the products and/or services, you show up with at the event are different than what you have described in your application you will be subject to be asked to leave without a refund.
No Guarantee:
Contractor understands and acknowledges that the rental of a booth, attendance to the event, and all associated activities and expenses are undertaken by Contractor in the course of commercial business. As with all commercial business undertakings, there is no guarantee of success, income, profit, or revenue. The contractor understands the expenditure of funds to participate in this event is at their own risk and the County does not guarantee any return, profit, revenue or income associated with Contractor 's participation.

Assumption of Risk, Release of Liability, and Indemnification Agreement
In consideration of being allowed to participate in any way in one or more programs, related events and activities at The Ranch Larimer County, including but not limited to the PRCA RAM Mountain States Circuit Finals Rodeo (collectively referred to herein as a Ranch Activity or Ranch Activities as the context requires), I, on behalf of myself, my heirs, successors and assigns, acknowledge, appreciate, and agree to all of the following:
General.
Ranch Activities are physical and potentially hazardous activities and involve risks including but not limited to, injury to the head, neck and/or spine; injury to muscles, bones, ligaments, tendons and other connective tissues; injury to internal and external organs, loss of or damage to sight, hearing, and/or teeth; long or short term disability; loss of income, career opportunities and/or the enjoyment of life and; pain, scarring, disfigurement, and/or death. The causes of possible injury are many and may result from my own actions, inactions, or negligence, but also through no fault of my own and due to the actions, inactions, or negligence of others, conditions of equipment and facilities, and/or any other known or unknown cause or condition, including but not limited to: injury from bodily contact, incidental or inherent in the nature of the activity; slipping and falling or tripping on surfaces, regardless of physical or environmental conditions; injury from warming up, practicing or training for participation; injury due to supervision or lack of supervision by Ranch Activity employees or agents, including referees or officials, or to rules or regulations and instructions (or lack thereof) regarding the use of equipment or tools or to the nature of the activity itself, particularly in activities involving contact (or potential contact) with other persons, equipment or balls; or injury due to a disparity among other participants or teams with respect to experience level, strength, height, weight, age, ability, and the relative competitiveness or maturity of, between or among other participants and; negligent or malicious acts of other participants, regardless of whether Ranch Activity had or should have had knowledge of the likelihood of negligent or malicious acts by such participant. The risk of injury from many of the activities is significant, including the potential for permanent paralysis and death, and while particular skills, rules, equipment, and personal discipline may reduce this risk, the risk of serious injury cannot be eliminated.
Assumption of Risk.
I KNOWINGLY AND FREELY ASSUME ALL RISKS RELATED TO OR ARISING OUT OF ANY RANCH
ACTIVITY, both known and unknown, EVEN IF ARISING FROM THE NEGLIGENCE OF THE RELEASEES (as defined in the next paragraph) or others and assume full responsibility for my participation.
Release from Liability.
I, for myself and on behalf of my heirs, assigns, personal representatives, next of kin and whomever else may have an interest either at common law or by operation of statute, HEREBY RELEASE, WAIVE, RELINQUISH, DISCHARGE AND COVENANT NOT TO SUE the County of Larimer County, Colorado, its officers, officials, agents, appointees, volunteers, insurers, and employees, other participants, sponsoring agencies, sponsors, advertisers, and, if applicable, owners and lessors of premises used to conduct the Ranch Activity (collectively the "Releasees”), FROM LIABILITY FROM ANY AND ALL LIABILITY, DAMAGES, LEGAL ACTIONS, CLAIMS, RIGHTS OF ACTION OR CLAIM, DEMAND, OR LOSSES, FORESEEN AND UNFORESEEN, AND FOR ANY AND ALL INJURY, DISABILITY, DEATH, OR LOSS OR DAMAGE OF ANY KIND OR NATURE ARISING FROM OR IN ANY WAY RELATED TO MY PARTICIPATION IN ANY RANCH ACTIVITY WHETHER ARISING FROM THE NEGLIGENCE OF THE RELEASEES OR OTHERWISE, SUSTAINED AS A RESULT OF, ARISING OUT OF OR IN ANY WAY RELATED
TO ANY RANCH ACTIVITY, to the fullest extent permitted by law.
Under Colorado Law, an equine professional is not liable for an injury to or the death of a participant in equine activities resulting from the inherent risks of equine activities, pursuant to section 13-21-119, Colorado Revised Statutes.
Indemnity.
I further agree to INDEMNIFY, DEFEND, SAVE, AND HOLD HARMLESS the releasees from and against any and all actual or alleged claims, demands, liabilities, damages, actions, causes of action, losses, injuries, costs, or expenses, including attorney’s fees, arising out of or in any manner connected with my participation in any Ranch Activity, except to the extent caused solely by the willful misconduct of the Releasees. I acknowledge that the agreements made herein were and will continue to be a material and important consideration and inducement to my admittance to any Ranch Activity.
Representations and Warranties.
I represent and warrant I am sufficiently trained, do not suffer from any condition, impairment, or limitation that prevents or limits my participation in whatever manner I choose, and am in good physical condition and able to safely participate in any Ranch Activity in which I participate. I willingly agree to comply with the stated and customary terms and conditions for participation. If I observe any unusual significant hazard during my presence or participation, I will remove myself from participation and bring such to the attention of the nearest official immediately. I will not exceed my physical abilities during any Ranch Activity. I acknowledge that Larimer County, Colorado, and it’s officials, appointees, employees, agents, insurers, volunteers, and representatives (collectively “Larimer County”) have made no recommendations or determinations as to my fitness or ability to participate in any Ranch Activity. I represent and warrant that I shall periodically and as needed consult with my physician, and shall not engage in any activity which is more rigorous than that recommended by such physician. I further agree that I will not use any equipment unless and until I have thoroughly familiarized myself with the correct use and operation thereof. I further agree that I shall not participate in any activity if I am ill, in poor health, or have any condition which might make my participation in the activity dangerous to me or if I have reason to believe I am injured or may become injured. I represent and warrant to Larimer County that I have full legal authority to complete this registration process and agree to this Agreement.
Severability.
I expressly agree that this Agreement is intended to be as broad and inclusive as is permitted by the law of the State of Colorado, and that if any portion is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect.
Nothing herein shall be deemed a waiver of the notice requirements, defenses, immunities and limitations of liability that the parties and their respective officers and employees may have under the Colorado Governmental Immunity Act (C.R.S. Section 24-10-101, et seq.) and under any other law.
I HAVE READ THIS ASSUMPTION OF RISK, RELEASE OF LIABILITY AND INDEMNIFICATION AGREEMENT, FULLY UNDERSTAND ITS TERMS, UNDERSTAND THAT I HAVE GIVEN UP SUBSTANTIAL RIGHTS BY SIGNING IT, INCLUDING THE RIGHT TO SUE, AND SIGN IT FREELY AND VOLUNTARILY AND INTEND TO COMPLETELY AND UNCONDITIONALLY RELEASE LARIMER COUNTY FROM ALL LIABILITY IN CONNECTION WITH MY PARTICIPATION IN OR ATTENDANCE OF ANY RANCH ACTIVITY.
Photo Release.
I hereby grant Larimer County permission to use my likeness in a photograph in any and all publications for corporate or non- corporate purposes, including web site entries, without payment or any other consideration in perpetuity. I understand and agree that these materials will become the property of Larimer County and will not be returned.
I hereby irrevocably authorize Larimer County to edit, alter, copy, exhibit, publish or distribute this photo(s) for purposes of publicizing The Ranch Larimer County programs or for any other lawful purpose. In addition, I waive the right to inspect or approve the finished product, including written or electronic copy, wherein my likeness appears.
Additionally, I waive any right to royalties or other compensation arising or related to the use of the photograph.
WITNESS THAT: The contractor shall fully defend, indemnify and release the County, its officers and agents from any and all liability or loss that may arise, in any manner, as a result of this agreement or from the hereunder of the Contractor(s), its employees, agents, subcontractors, customers or invitees. Contractor understands the County is not responsible for any loss or damages and therefore Contractor is encouraged to consider and seek additional insurance to protect the Contractor, its employees, agents, subcontractors, customers or invitees.
